Who we are
This notice is provided by Zoom Cars, the business operating zoomcars.org. We are responsible for deciding how the personal information covered by this notice is used.
You can contact us about privacy at info@zoomcars.org or by calling +44 117 955 5555.
This notice covers our website, journey enquiries, business account enquiries, driver enquiries and related customer support. Third-party booking portals and apps may also provide their own privacy information.
Information we collect
- Contact details: your name, email address, telephone number and preferred way or time to contact you.
- Journey details: pick-up and destination addresses, extra stops, travel date and time, passenger numbers, luggage, vehicle preferences, flight number and any requirements you choose to provide.
- Business enquiries: company name and address, contact person, business account reference, travel requirements and enquiry details.
- Driver enquiries: contact details, postcode, licensing authority, driving experience, access to a vehicle, work preferences and availability.
- Refund and support enquiries: booking reference, journey date, amount paid, payment method, refund reason and, where requested, the last four digits of a payment card. Please do not send full card numbers, security codes, passwords or unnecessary identity documents through a general enquiry form.
- Technical information: IP address, browser and device information, pages visited, referral information, security logs and cookie or advertising identifiers where the relevant technologies are used.
We normally receive this information directly from you. A person booking on your behalf, your employer or a business account contact may also provide the information needed to arrange your journey. If you provide another person's information, please make sure they know about this notice.
Please only include assistance information that is needed for your journey. Contact us before sending medical records or other sensitive documents so we can explain whether they are needed and how they should be provided.
Why we use your information
| Purpose | Lawful basis |
|---|---|
| Responding to a journey request, arranging transport and contacting you about the service you have requested. | Taking steps at your request before a contract, or performing a contract. |
| Handling general enquiries, business and driver enquiries, customer support, complaints and service improvements. | Our legitimate interests in providing and managing our services, or steps before a contract where applicable. |
| Protecting our website and services, investigating misuse, preventing fraud and dealing with legal claims. | Our legitimate interests in operating a secure and reliable business, and legal obligations where applicable. |
| Keeping records required for accounting, tax, transport licensing or other legal requirements. | Compliance with a legal obligation. |
| Optional marketing communications and advertising technologies that require permission. | Consent, where required. You can withdraw consent at any time. |
Where we rely on legitimate interests, we consider the purpose, necessity and impact on your rights. We use journey contact preferences to respond to your request; a booking enquiry does not by itself give permission for unrelated marketing.
Some information is needed to respond to an enquiry or arrange a journey. If you do not provide the required details, we may be unable to deal with your request. Optional fields can be left blank.
Who we share information with
Where needed for the relevant purpose, information may be shared with:
- Our team, drivers and transport partners involved in responding to your request or providing a journey.
- Booking, dispatch, hosting, email, communications and technical support providers who help us operate our services. Our existing business account page links to an Autocab booking portal.
- Your organisation's authorised business account contacts, where your journey or enquiry relates to that account.
- Address suggestion services. Text entered into pick-up, destination or stop fields may be sent to services such as postcodes.io and Photon to return location suggestions.
- Google and Meta where their advertising technologies are used with the permission required by law.
- Professional advisers, regulators, law enforcement or other bodies when disclosure is required by law or is necessary for a legal claim.
We aim to share only the information needed for the relevant purpose. Some providers process information on our behalf; others are responsible for their own processing and provide their own privacy notices.
International transfers
Some technology providers may process information outside the United Kingdom. Where UK data protection law requires safeguards for a transfer, an appropriate transfer mechanism must be in place, such as an applicable adequacy arrangement or approved contractual safeguards.
Contact info@zoomcars.org for information about providers used for your particular enquiry and any relevant transfer arrangements.
How long we keep information
Retention depends on the reason the information was collected. We consider the time needed to handle the request or provide the service, our relationship with you, applicable accounting and licensing requirements, the need to investigate complaints, and relevant legal claim periods.
Journey, account and refund records may need to be kept for legal or accounting purposes after an enquiry or journey ends. Driver and general enquiry information is reviewed against the purpose for which it was collected. Technical logs and advertising identifiers may have different retention periods.
You can ask us for the retention period or criteria that apply to your information. When information is no longer needed, it should be securely deleted or anonymised, subject to any necessary legal hold.
Your rights
Depending on the circumstances and the lawful basis used, you may have the right to:
- Ask for a copy of your personal information.
- Ask us to correct inaccurate or incomplete information.
- Ask for information to be erased or its use restricted.
- Object to certain uses of your information.
- Receive certain information in a portable format.
- Withdraw consent where processing relies on consent.
Your right to object to marketing
You can object to the use of your personal information for direct marketing at any time, including related profiling. You can also object to processing based on legitimate interests, subject to the applicable legal conditions.
To make a request, email info@zoomcars.org. We may need to confirm your identity before releasing or changing information. Some rights have legal exceptions, including where records must be retained to meet a legal obligation or deal with a claim.
Security and other services
We use HTTPS on our website. Appropriate access controls and other safeguards are also needed to protect personal information. No online service can promise complete security, so please avoid sending information that is not needed for your enquiry.
Website vehicle suggestions help you select a suitable request; they do not confirm a booking. Our team contacts you to confirm journey arrangements.
Links to WhatsApp, social networks, app stores and booking portals take you to other services. Their own notices explain how they handle information within those services. This notice does not replace privacy information supplied by those providers.
Contact, complaints and updates
If you have a question about your information or want to raise a concern, contact Zoom Cars at info@zoomcars.org or +44 117 955 5555.
You also have the right to complain to the UK's Information Commissioner's Office. Information about making a complaint is available at ico.org.uk/make-a-complaint.
We may update this notice when our services, practices or legal requirements change. The date at the top identifies the latest version of this notice.
